· Encourage them and reassure when they need help.

· Pay attention to them all the time.

· Do not attempt to complete a person’s thoughts or sentences when he is communicating with you.

· Use a tone of voice which suits the conversation. For example if your patient needs to hear something good from you, you have to use an encouraging tone.

· Wait for response to questions and acknowledge feelings of your patient even if you do not agree with them.

· Listen to the language terms which the old person uses in communicating with you, when responding, make use of simple terminologies and language that suit his understanding.

· Most sick, aged and dependable people like to be addressed a certain way, if they prefer to be addressed in such way, then address them that way. This makes it easy for you and your patient to relate with one another.

Misunderstood: Developing Effective Communication Skills

Developing Effective Communication Skills
Communication has been part of our civilization for so long that it is hard to fathom why some people still fail to understand each other. Everyday, people continue to make mistakes because of misunderstanding. Everyday, people fight and argue because they misinterpreted what the other person was saying. Messages get garbled because people lack effective communication skills.

Effective communication skills, unlike what some people might claim, do not come inherently to each of us. Effective communication skills are not fixed from birth. Sure, some people may be born with disabilities that prevent them from communicating in the way others do, but the effectiveness of the way they communicate can be nurtured through different ways.

If people with disabilities can develop effective communication skills, why can’t you? Here are a few tips that you can use to develop effective communication skills:

1) Understand the power of perception – The way you perceive a message to be may not necessarily be shared by others. You need to see the message you are trying to send the way others would perceive it. Here is an example:

Opening a gift – In America, people like to open their presents in front of the person who gave it. This way, they can show their appreciation for that gift. In other countries, however, they would wait for the guest to leave, then open the presents. This is not a show of disrespect, but it is to prevent people from seeing the disappointment on the receiver’s face if he/she does not get what he/she wants. The way we interpret the actions of other people vary greatly from person to person. This means that generalization is the last thing you want to do. Developing effective communication skills demands understanding.

2) Pay attention to details – In order to develop effective communication skills, you need to understand the importance of details. Small details can sometimes change a whole message. One example of this is the comma. It’s a little detail in a whole sentence, but when used in terms of finance, one mistakenly placed comma can cost you a lot of money.

This is also true in terms of non-verbal communication. Gestures like handshakes have little details from which a person can judge its sincerity. If you do not want to be misunderstood, make sure that you pay attention to the details.

3) Know before you speak – People pay little attention to the meaning of words. This is the main reason why language continues to deteriorate today. In order to have effective communication skills, you need to learn the meaning of a word before you use it. This does not mean just looking it up in a dictionary, you need to learn if a word has different meanings based on context.

This also goes true for non-verbal communication. In order to develop effective non-verbal communication skills, you need to learn the meanings of symbols before you start sending them out. This means you have to watch what you wear, the gestures you make and other things that may be considered as non-verbal communication.

4) Practice – Remember that knowing these tips for effective communication skills development can only be useful if you use them. Development comes with practice. If you are not confident enough to apply your skills yet, you can also try speaking in front of a mirror. This could help you realize what a person sees when you are trying to communicate. Correcting your mistakes will ultimately lead to you having effective communication skills.

Imperfection: Responding to Communication Skills Assessment

Communication Skills Assessment
Not all of us are effective in communicating. In fact, when you take a look at the world today, a lot of us have trouble getting a simple message across. We all have pretty good idea about what we want to let others know, but most of us do not have the right idea about how to do it. All we need to do is to improve our communication skills and the first step to improvement is being able to see our mistakes. This is the reason for communication skills assessments.

Communication skills assessments come in two parts: verbal and non-verbal. The verbal communication skills assessment takes measure of how adept we are at the use of words. It assesses the way we use words to convey our meaning and the way we interpret meanings from words. This part of a communication skills assessment does this through written and oral exams.

Non-verbal communication skills assessment takes note of the way we say things without the use of words. These take note of how well we are able to express ourselves using gestures, drawings and other “symbolic” languages. This is usually done through observation and evaluation.

How should one respond to the results of a communication skills assessment?
1) Accept – Tests are made to be objective as possible. The results of your communication skills assessment are ensured to be free of any bias. This means that you cannot blame someone if you made some mistakes. You cannot be perfect, since no human is. Even in such a natural field as communications, people are apt to make mistakes. Do not try to blame the testers for your mistakes.

Don’t rant and rave about the test, just accept the truth that you are not perfect and move on to the next step.

2) Improve – The next step is improvement. Once you have accepted the fact that you are not perfect, you must try to improve yourself. The main goal of a communication skills assessment is not to criticize you, but to improve you.

Some people, when they get bad results from communication skills assessment, sink into despair. They think that they have no hope of improvement. However, here is the truth: communication skills are not fixed from birth. This means that you can take steps to improve them.

There are two ways to do this: by yourself or through another person’s help. If you choose the former, there are a lot of resources available out there for you to use. This means that you only need the will to improve. If you choose the latter, some professionals are ready to help you. More often than not, the ones who conducted the communication skills assessment will provide you the help that you need.

3) Observe – Once you have improved yourself, you need to be observant. We always need continuous improvement so be vigilant and see what improvements need to do next. If you continue to be observant about your communication, you increase the chances that you will never need a communication skills assessment again.

Communication skills assessment is like a mirror, letting you see what parts of you need improvement. However, this instrument alone is not enough to make you better. You need to have the right attitude in order to actually improve. Always remember that in life, having the right attitude is everything.

Developing Communication Skills Through Speaking and Listening

Developing Communication Skills
Initiating a conversation is a good first step to develop good communication skills.
Developing effective communication skills, however, cannot be acquired overnight, hence it is called “skill”. It needs to be learned, practiced and developed.

For project managers, journalists; public media spokes person, broadcasters and a list of other career professionals, effective communication skills are very important.
By developing your communication skills, you have to learn to speak effectively and listen attentively. These two are the most important skills you have to attain. How to do it, here are the details:

Speaking:
For one to develop good public speaking abilities, speaking skills have to be learned, practiced and evaluated over a period of time. The first rule of thumb to be able to speak effectively is planning what to say. What is the main idea of what you are trying to convey? Organize your thoughts so they lead to the main idea of the message you are trying to send across. Once you have arrived at your main idea, take a short brief and ask your audience if they are following you. By doing so, you know if you are off tangent on what you are saying or still on the right path. Ask your listeners if they understood what you were saying so that you are both on the right page. Make sure you keep your conversation focused and direct to the point.

Another point to take note when speaking is the style you use in expressing yourself. The speaking style you use has a large impact on the audience you are speaking to especially if you want to be convincing. When speaking, strive to be warm and enthusiastic. Doing this, your audience will be responsive and perfect interaction can be formed.

It is normal to expect questions during a conversation and always be prepared to answer them. When answering, take your time by paraphrasing the question to be sure you are certain of what it means. In situations where you do not know the answer to the question, do not make up an answer, instead, say you do not know the answer.

Listening:
Strive to be an effective listener by listening attentively to what the speaker is saying. To be an effective listener, you should be able to hear the words as the speaker communicates so that you can understand the entire message. Effective listening in developing communication skills is by looking at the speaker when he is communicating, maintain eye contact and nod during brief pauses. Watch the speaker’s facial expression to be able to completely understand the tone of the message he is conveying.

Show open attitude to the speaker through body language and attentiveness. To be an effective listener, you must be composed when relating with the speaker. In this way, they feel more accepted when they are with you. Don’t fidget or frown when looking at the speaker because he is trying to get a response from you, so giving a negative attitude makes him feel defensive, insecure and not confident.

As part of developing good communication skills, it is important to ask questions during a conversation. When asking questions, use open ended questions so that it is easier for the listener to know how to answer your questions. With all the tips given, it is obvious for us to see that communication skills is not just innate, it needs to be developed and practiced.

If you lack the expertise in business communication skills, worry not because there are a lot of sources for learning its ropes. Among them are pamphlets, books, and even special courses. You can always grab any opportunity that will hone your business communication skills.

Most of the times, business communications are in written forms. So you will have to write a report, prepare the proposals, complete the staff study delegated to you, and then create a business letter that you will be sending out to whoever is the concerned individual of another business firm. So what are to be noted when writing a business communication? First, you should recognize the purpose or problem to be tackled in the letter and then to think about the content of the letter so that the goal you are into could therefore be achieved. After which, your ideas must be carefully organized so that its presentation will hence be chronological. During the writing of the draft, you must be wary in every word that you include. Editing follows. When the draft requires revisions, do it. Then a meticulous editing should again be done before the final draft is to be sent out. Business communications are formal so you should have the skill that will produce such kind of output.

Bear in your mind that business communication is the transmission of valuable ideas. Therefore, proper words must be carefully chosen and used per sentence. There must also be unity in the thought expressed in the paragraphs. Anyone who is in-charged in writing business communication letters should be well-versed with the language to be used and should possess high standards of business communication skills. An effective business communication writer is said to be able to transmit and provoke feelings and likewise is able to convey ideas and facts to the other party.

Within the company itself, business communication happens such as when going about with the conveyance of ideas and thoughts to the suppliers, employees, employers, distributors, dealers, manufacturers, vendors, customers, community groups, and the likes. It is hence a must that the communication letter is simple, formal, and well-understood or else no successful communication process can be achieved. When doing business communication orally, you have to be fluent in the medium of language you use.

It is rather necessary that your business communication skills are sharpened once in a while so that you will not lose hold of your success.

Hanging in the Balance: The Importance of Communication Skills in the Workplace

Communication Skills in the Workplace
Have you wondered why most job advertisements call for who has effective communication skills? Everyone sees this statement all the time, yet few really question it. What is the importance of communication skills in the workplace? Why do you need these skills in order to do your job?

The importance of communication skills in the workplace lies in the fact that you will be working with other people. Whether you are a paper-pusher or an industrial worker, communication is a part of your job. One man cannot claim to be able to do things alone. This is impossible.

Think about it: even if you have your own company, you will still need the help of others to promote it. You need to be able to communicate to other companies to acquire the things you will need in order to produce. At the very least, you need to communicate to other people in order to persuade them to support your business.

Here are examples showing the importance of communication skills in the workplace:

1) Interoffice communication – This is the best example in showing the importance of communication skills in the workplace. In offices, people often receive memorandums, letters and other types of interoffice communication. These are used to coordinate the efforts of the people composing the company. Fast and accurate communication is required to make a company more efficient. This means that those people who send messages should have effective communication skills. However, it also means that those people receiving the messages should be able to interpret them correctly.

Whether you are a boss or an employee, this importance of communication skills in the workplace should be quite evident to you. People need to communicate inside the company. As a boss, you have to let your subordinates know what you want to accomplish. As an employee, you would want to understand what your boss wants in order for you to do it.

2) Social interaction – Despite the insistence of many companies to eliminate personal relationships within a workplace, attachments will be formed between workers. This is because of the fact that socialization is an inherent part of being human. A person’s social ability often determines his or her professional success.

The importance of communication skills in the workplace is shown by how much easier it is for friendly people to get ahead in a company. A person, despite the fact that he/she is hardworking, would find it hard to be promoted if he or she does not have the support of his or her colleagues. That being said, the key to gaining support from one’s colleagues is communication.

3) Company communications - Companies need other companies in order to help them out. This was mentioned on the first part of the article but let us elaborate on the subject. No company can survive on its own. Each company needs raw materials, equipment and other things that come from other people. The importance of communication skills in the workplace can be found in this fact.

More people should understand the importance of communication skills in the workplace. Not many folks understand that their jobs often hang in the balance because of this skill. Your ability to get your message across to other people does determine just how effective you are as a worker.

Express Yourself: The Power of Good Communication Skills

Express Yourself
The importance of having good communication skills is clearly evident in the world today. Misunderstandings abound. In the past, people who get misunderstood got a chance to explain their meaning. But in today’s society, a person who is misunderstood often has his/her reputation ruined, despite all of the justification and explanation he/she makes. In fact, because of the violence in today’s streets, people who are misunderstood may even end up dead.

Of course, some people may call this claim a little paranoid. But have you ever tried reasoning to a gang? In this type of situation, having good communication skills could save your life.

The power of good communication skills lies from understanding. Of course, some people may point out that understanding is an inherent part of communication. However, what the first statement meant was that a person needs to understand that people interpret things differently. By understanding that people understand different things differently, you will be able to get you message understood easier.

In order to understand, you need to know a lot of stuff. You need to know the background of the person you are communicating with. You need to be able to put yourself in the shoes of that person and judge objectively how he or she will be able to take that message.

Part of having good communication skills is having the ability to say the right thing at the right time. However, part of it also involves doing the right thing at the right time. This means that you have to watch your non-verbal communication as well. This is especially true in the world of business. In making deals, a person needs to be careful since one wrong gesture or signal can destroy years of hard work.

The power of good communication skills can be observed throughout history. It is a power that can be used for either good or evil purposes. Sure, some people may call this statement as being melodramatic, but when you take a look back at World War 2, you will realize how a man’s speeches can drive a nation to fight the world.

However, let’s tone down the potential of world domination for a bit, and take a look at how good communication skills can help you today. We already mentioned that good communication skills could help businessmen close deals. The biggest help that good communication skills can give you, however, is helping you make contacts.

We all know how important connections are in today’s world. The business world today has little space for an “unknown”. People need to have contacts in order to get ahead. A person who thinks that he can make a reputation by himself will soon find out that it would take a whole lifetime to do so. Good communication skills are essential in building your own network.

Selling is our main occupation today. This does not merely refer to the “I’ll-give-you-money-for-this-product” type of sales. People sell their personalities in order to get jobs. People sell the feasibility of their ventures in order to get funding. Students sell their abilities in order to gain admission to a prestigious university. We all sell. The philosophy of sales comes down to two words: yes or no. In the end, you will need good communication skills to get your “yes”.

Developing Your Management Communication Skills

Management Communication Skills
How would you rate yourself based on your management skills? As a management graduate and a project manager, it is highly important that you develop good management communication skills. Effective communication skills are important as constituency based management relies on a person’s ability to listen effectively to what other people’s concerns and interests. It is an essential tool of resource management which is needed to be trained, practiced and assessed.

As a career oriented person, especially in the field of management, there are certain skills which need to be developed on a daily basis. When you apply for a job, there is the reason why experience is needed for certain types of jobs. A case is that of a typical project manager who has experienced in the line of work for a certain amount of time.

Management of an organization is a high level mental activity which uses communication to carry out its roles in a goal-oriented environment. Missions of management specialists includes planning, confrontation of objectives ruling out possibilities of an outcome, risk taking and most importantly decision making. All these roles are important which helps in developing and honing one’s management communication skills.

In an organization, meetings are a vital part of what makes an organization run smooth in terms of work flow and information. A meeting is a sort of means whereby resources gather together from many sources and then pool together towards a common objective.

It is in these meetings that management communication skills come into play. This is because by nature meetings can be long, futile, boring and most often times disliked because most people involved have to make use of their management communication skills in expressing an opinionated idea.

As a project manager, your purpose is to break the mould and make the meeting effective and interesting; this way you are tasked with the use of various resources and instruments to make your point heard and agreed upon. A meeting which is boring will not stimulate the right responses you need from other project managers.

Normally in every organization, all meetings are planned, monitored and reviewed afterwards. This is important to provide room for improvement in future meetings to be held. As part of your management communication skills, your job is to organize the information and structure of a meeting using the skills u have to support effective communication of all managers present.

As part of management communication skills, there are vital points to take note in improving your skills:

1. Plan the message before hand.
For an effective speech to be properly communicated, state the idea of what you are trying to convey in a clear, concise and easy to understand message.

2. Expression is a must
When speaking in front of a group of people, your management communication skills comes into play and therefore the style with which you speak expresses what you want the participants of the meeting to do. IF you want them to agree with you, then you should be enthusiastic with your style of expression.

3. Answer questions and be an active listener
Communication is a two way process; one has to speak and the other needs to listen. In an organizational meeting, after conveying your message, give chances to the other members of the meeting to express their own opinions and ideas; listen to what others have to say and look at them in the eye maintaining eye contact.

The Importance of Communication Skills in Today’s World

The Importance of Communication Skills
Language and communication are changing all the time. This is probably because of the fact that people change all the time. Although people are the main reason why communications change, there are a number of other factors why people have to be continually updated on their communication skills. The importance of communication skills is undeniable because of this.

Communication is affected by technology. New words and terminologies are coined to fit the new discoveries of technology. Here lies one importance of communication skills: Since language changes all the time, one must be able to keep up with the change. In other words, a person should have enough knowledge to continue upgrading his or her communication.

We have already seen the changes wrought by technology in language. There was a time when a spider made a web and a net was used to catch fish. There used to be a time when surfing actually involved boards and the sea. The importance of communication skills lies in the fact that those skills will help man progress with his language.

Communication is affected by culture. In the past, different cultures have been able to use whatever word they want to describe something. However, because of the realization that some words do offend other cultures, we have changed our language. The importance of communication skills lies in the fact that these skills help with the social interaction of people.

Having communication skills are important because man is not meant to be alone. Each of us needs other people in order to live a full life.

There are other factors that help in the continuous transformation of communication. However, the point is that these factors also contribute to the importance of communication skills.

The biggest importance of communication skills is the fact that it is the way through which our civilization continues to flourish. The act of passing on knowledge from generation to generation is communication. It is through communication that we manage to continue our discoveries.

Another importance of communication skills lies in expression. Man’s experiences in life need an outlet. People need some ways to express themselves in order for others to share their experiences. However, people need communication skills in order to do this effectively. Communication skills mean the difference between a doodle and a masterpiece. Some people may disagree with this importance of communication skills, and they may say that art is not required to live. However, have you ever realized that though we work to live, art is what we live for?

The importance of communication skills lies in the fact that these skills allow us to put order in the chaos of human interaction. Without communication skills, people would be unable to understand the desires of each other and mutual growth would be impossible. Helping each other is the reason we have progressed through all of these years, and it is the reason we survive until this day.

It is through unity and solidarity that we man has reached these heights, and this is made possible through communication. The everyday occurrences of violence resulting from misunderstandings show us just what would happen if communication skills were non-existent. Communication skills are important because we need to be able to relate with the world around us. We need to be able to express ourselves.

Say What You Mean: Developing Verbal Communication Skills

Developing Verbal Communication Skills
Words are said to be man’s greatest achievement. However, many people would argue that verbal communication was developed not out of want, but out of need. People needed verbal communication in order for our species to survive. This is the reason more and more people aim to develop their verbal communication skills.

Developing good communication skills can be a tough job. However, if you try to make use of the old style of “divide and conquer”, you might be able to do it quite easily. How do you divide the job of developing verbal communication skills?

1) Oral –This is the area of verbal communication skills that we most often use. This category encompasses the spoken word. In focusing on this front, you will be able to improve your skills in conversation. So how do you develop this verbal communication skill? Once again, we divide and we conquer.

a) Speaking – Some people speak too much without saying anything. In order to develop this verbal communication skill, you need to be able to control your tongue. The secret to being a successful speaker is thinking about what to say before you say it. Consider the consequences of your words. We all know that no person can say the right thing all of the time. However, you should learn to realize the fact that this verbal communication skill can be developed and nurtured.

Many people take this for granted, since they have been doing it for their whole lives. This is the reason why language has deteriorated today. People have no care for grammar, reasoning that grammar is one instrument of “the man”.

b) Listening – Listening is different from hearing. We do not control our hearing consciously. However, when we listen, we do so because we choose it. Listening means that you should not only hear what other people are saying, but you should be able to understand it as well. By learning how to listen properly to other people, you will be able to be a much more effective conversationalist.

2) Written – Because of technology, this form of verbal communication skills is rarely used today. People hate having to read and write, thinking that it is just too much work. However, developing this verbal communication skill is essential because you can’t record and transmit everything, can you?

a) Writing – Writing is one of those activities that have changed because of technology. In the past, development of effective written verbal communication skills involves having to make sure that your handwriting was legible. Because of technology, however, we now need only to focus on grammar and spelling in order to communicate effectively through this method. In order to develop your writing skills, you should try to seek the opinion of other people. You should see if your writing transmits your message clearly.

b) Reading – When reading, try to interpret messages as clearly as possible. Each of us has an idea about what a message is all about. However, in some cases, we need to interpret them the way the writer wants them to be interpreted. This is true for memorandums, laws and other “official” written correspondence. Developing your verbal communication skill needs patience and practice. You need to read more in order to learn how to read better. In doing so, you will also be able to improve other skills.

Tips to Have Great Interpersonal Communication Skills

Interpersonal Communication Skills
One of the keys to success is having great interpersonal communication skills. People with interpersonal communication skills have a higher chance to “make it” in the world today. This is because people have finally realized the importance of having the right connections in business.

Interpersonal communication skills are not inborn. Sure, some people are born with characteristics that naturally attract people to communicate with them. However, Interpersonal communication skills can be nurtured in order to be more effective.

So how should you develop interpersonal communication skills?

1) Accept your imperfections – The biggest obstacle to improvement is ego. People who think that there’s nothing wrong with their interpersonal communication skills would naturally take no steps to improve them. In order to develop your interpersonal communication skills, you need to realize the fact that they need development. If there is one thing that man should seek in life, it is improvement.

2) Try to understand – Understanding is the key to having great interpersonal communication skills. If you learn how to understand others, you will be able to realize the fact that communication really is not that hard. It’s all about putting yourself in the shoes of the other party and trying to see your message through their point of view. Although no one can really claim to be able to understand another person, making an effort to do so will really get you close.

3) Don’t just hear. Listen – People have a trouble distinguishing listening from hearing. Here’s the deal: Listening is active while hearing is passive. People cannot consciously control their ability to hear. What they can control is their ability to focus. Listening is composed of focusing your hearing on a conversation. When you are trying to communicate, you cannot just stop at hearing what the other party has to say, you should be able to understand.

4) Think before you talk – There are so many people today who speak a lot of words but fail to really say anything. The so-called “foot-in-mouth” disease is slowly spreading among our culture. In order to prevent this, think hard about the repercussions of what you are going to say. Remember that people who can be understood with just one word appear smarter than people who talk with the oral equivalent of an encyclopedia.

5) Think before you act – Learning about the aspects of non-verbal communication is just as important as knowing when to talk. Some people can say whole sentences with just a gesture or a facial expression. In order for you to improve your interpersonal communication skills, you should also pay attention to your non-verbal communication. People may think that non-verbal communication does not really happen at a conscious level, but you can learn how to control them. Let’s take facial features, for example. People have been neutralizing their facial expressions for a long time. Hence, we have things such as the poker face.

Do not be rash with your actions. Think things through.

6) Practice – The best way to improve your interpersonal communication skills is to use them. In order to learn how much progress you’ve made and how much you still have to go, you need to use those skills everyday. Okay, so people actually use their interpersonal communication skills on a daily basis. What this tip means is that you should try to improve daily. Remember that your goal should always be becoming better.
